These Terms & Conditions outline the basis on which Vietnam Tour Fun provides its services, as well as the rights and responsibilities of both parties. We kindly ask that you read them carefully before confirming your booking.

By confirming a booking and making payment (deposit or full), you acknowledge that you have read, understood, and agreed to these Terms & Conditions on behalf of all travelers included in the reservation.

For the purpose of this document, “Services” refer to all travel-related arrangements provided by Vietnam Tour Fun, including but not limited to itinerary planning, accommodation, transportation, tours, activities, flights, and other associated services.

ELIGIBILITY

Bookings must be made by individuals aged 18 years or older. Any traveler under the age of 18 must be accompanied by a parent or legal guardian, who assumes full responsibility for them during the trip.

PRICING & INCLUSIONS

All prices provided in proposals or quotations are indicative and subject to availability at the time of confirmation.

Prices may vary due to:

· Changes in hotel or service availability

· Airfare fluctuations

· Currency exchange variations

Unless clearly stated, prices do not include:

· Personal expenses (laundry, minibar, etc.)

· Visa and passport costs

· Travel insurance

· Tips and gratuities

· Bank or transaction fees

· Optional activities not specified in the itinerary

PAYMENT TERMS & ONLINE PAYMENT

· Deposit & Balance: A deposit of 20% of the total booking value is required to confirm services. The remaining balance must be paid 45–60 days prior to arrival, unless otherwise specified. Certain services (such as flights or special bookings) may require full payment at the time of confirmation.

· Confirmation: Services are only considered confirmed once full payment or deposit has been received. Vietnam Tour Fun reserves the right to suspend or cancel services if payment deadlines are not met. Any additional costs arising from delayed payments (such as price increases or supplier penalties) will be the responsibility of the client.

· Online Payment via OnePay Gateway: Online payments are processed securely through our payment partner, OnePay Payment Gateway.

o Accepted Methods: We accept major credit and debit cards (Visa, Mastercard, American Express, JCB, UnionPay) and digital wallets (Apple Pay, Google Pay, Samsung Pay).

o Currency & Exchange Rates: All transactions are charged in Vietnamese Dong (VND). Any foreign currency conversion fees or exchange rate differences are subject to your card-issuing bank's policies.

o Payment Security: Payments are encrypted and processed in accordance with international security standards, including PCI-DSS compliance, SSL encryption, and 3D-Secure protocols (Verified by Visa, Mastercard ID Check, SafeKey, J/Secure). Vietnam Tour Fun does not store or hold your credit card details.

CHILD POLICY

The rate for children is applicable for a child sharing a room or cabin with two adults:

· Infants (<2 years old): 10% of the adult rate.

· Children (2–11 years old): 85% of the adult rate.

· Children 12 years old and above: Charged at full adult rate.

· Air Tickets: Based on each airline’s specific policy at the time of booking.

BOOKING CONFIRMATION & TRAVEL DOCUMENTS

· A confirmation voucher will be issued within 48 hours after receipt of the deposit.

· Final travel documents (including flight details where applicable) will be shared 15–30 days prior to arrival, once full payment has been completed.

· It is the traveler’s responsibility to ensure that all personal information provided is accurate. Vietnam Tour Fun cannot be held liable for issues resulting from incorrect details.

CANCELLATION POLICY

In the event of cancellation, fees will apply based on the total booking value:

· More than 60 days before arrival: 10% of total booking value

· 30–59 days before arrival: 20% of total booking value

· 15–29 days before arrival: 40% of total booking value

· 8–14 days before arrival: 80% of total booking value

· Within 7 days or no-show: 100% of total booking value

Additional Cancellation Notes:

· Any applicable airfare cancellation fees will be charged separately in accordance with airline policies. Package air tickets are non-refundable unless specified otherwise.

· Any unused services (including missed tours or early departures) are non-refundable.

AMENDMENTS & CHANGES

· Requests to modify a confirmed booking are subject to availability. Depending on the nature of the change, amendments may be treated as a cancellation and rebooking, with applicable fees applied.

· Vietnam Tour Fun reserves the right to adjust itineraries when necessary due to operational requirements or external factors. In such cases, suitable alternatives will be offered whenever possible.

TRAVEL REQUIREMENTS & RESPONSIBILITIES

Travelers are responsible for ensuring they meet all travel requirements, including:

· A valid passport (minimum 6 months validity beyond intended travel dates)

· Required entry visas and documentation

· Compliance with health and vaccination regulations

All names on travel documents must exactly match the passport. Travel may involve activities with inherent risks; participation is at the traveler’s own discretion and responsibility.

INSURANCE

· Comprehensive travel insurance, including medical coverage, is mandatory for all travelers.

· Clients are responsible for arranging appropriate insurance coverage prior to departure and providing proof if requested.

· Vietnam Tour Fun is not liable for any medical expenses, losses, or damages not covered by insurance. Failure to provide valid insurance may result in cancellation of services without refund.

FLIGHTS & AIR TRAVEL

Airlines may adjust schedules, routes, or aircraft types without prior notice. Vietnam Tour Fun is not responsible for:

· Flight delays or cancellations

· Schedule changes made by airlines

· Missed connections due to airline disruptions

Travelers must inform us promptly of any flight changes so ground arrangements can be adjusted accordingly.

ACCOMMODATION

· Prices are based on double occupancy unless stated otherwise.

· Standard check-in time is 14:00 | Standard check-out time is 12:00.

· Alternative accommodations of a similar standard may be provided if necessary.

· Some hotels may require a refundable security deposit upon check-in.

LOCAL LAWS & CONDUCT

Travelers are expected to respect the laws, customs, and regulations of the destinations visited. Vietnam Tour Fun is not responsible for any consequences resulting from non-compliance, including fines, penalties, or legal actions.

LIMITATION OF LIABILITY

Vietnam Tour Fun acts as an intermediary between clients and third-party service providers (hotels, airlines, transport companies). We are not liable for:

· Acts or omissions of third-party providers

· Loss, injury, delay, or damage during travel

· Loss or theft of personal belongings

Vietnam Tour Fun reserves the right to modify or cancel services prior to departure. In such cases, a refund will be provided for recoverable amounts.

FORCE MAJEURE

In the event of Force Majeure, Vietnam Tour Fun shall not be liable for any failure or delay in the performance of its obligations, nor for any loss, damage, or additional expenses incurred by the client as a result. The client shall not be entitled to claim compensation or damages arising from such circumstances.

“Force Majeure” refers to any event beyond the Company’s reasonable control, including but not limited to natural disasters, severe weather conditions, fire, flood, earthquakes, war, civil unrest, government actions, epidemics, pandemics, official advisories, and widespread disruptions to transportation or supply chains.

Force Majeure also includes events materially affecting the client’s ability to commence or continue the trip, such as flight cancellations, airspace closures, border restrictions, or travel disruptions caused by conflict or geopolitical tensions.

In such situations:

· We will provide support and assistance where possible.

· Alternative arrangements may be offered.

· Refunds depend on recoverable amounts from suppliers.

DISPUTES & GOVERNING LAW

These Terms and Conditions and the relationship between the Traveler and Vietnam Tour Fun will be governed by the laws of Vietnam, where our head office is located.

COMPLAINTS & CLAIMS

· If any issue arises during your trip, please notify your guide or travel advisor immediately so it can be addressed promptly.

· Formal claims must be submitted in writing within 15 days after the completion of the trip, along with supporting documentation.

MARKETING & MEDIA USAGE

· Visual materials on our website are provided for illustrative purposes only, and actual conditions may vary.

· From time to time, Vietnam Tour Fun may use testimonials, comments, or photographs of travelers for promotional materials. By participating in our Services, travelers grant Vietnam Tour Fun a perpetual, non-revocable, and royalty-free right to use such media for promotional purposes without compensation.

AMENDMENTS TO TERMS

Vietnam Tour Fun reserves the right to update or modify these Terms & Conditions at any time. Any changes will not affect bookings already confirmed under previous terms.
