Scope, travel services and booking
The legal details of the contracting travel company will be provided with your individual offer and must be confirmed before booking. For travel enquiries, contact the Vietnam Tour Fun team through our contact page.
This draft explains the source terms for travel planning and agreed services, which may include accommodation, transfers, guides, excursions, boat trips, cruises and domestic or regional flights. Your individual offer and written confirmation specify the services you actually book.
A website enquiry is not a binding booking. Before you book, you will receive the relevant service details, price and contractual information. Any changes to an earlier proposal must be clarified before you accept. These terms do not limit mandatory statutory rights.
Lead travellers and children
The person making the booking must be at least 18. Children must travel with a parent or legal guardian. If you book for other people, you must have the necessary authority and inform them of the details and conditions relevant to their trip.
Check all travellers' names, ages and travel documents carefully. Additional documents for children depend on nationality, itinerary and the requirements of the countries involved.
Your offer, price and included services
Website prices and initial proposals are indicative. Suggested hotels, room categories and flights are not automatically reserved. Availability, travel dates, group size and selected services may affect the price. You will receive a specific price and list of services before entering into a contract.
Unless expressly included, personal expenses, laundry, excess baggage, passport and visa costs, single-room supplements, insurance, tips and additional activities must be budgeted for separately. The enquiry form's budget per person refers to arrangements at the destination, excluding international arrival and departure flights.
Any permitted payment charges or other additional costs must be explained before you make a binding decision. A supplier's price change does not, by itself, permit a later increase to your agreed price; your contract and applicable law determine what is allowed.
Deposits, balance payments and payment methods
The source terms set out the payment framework below unless different arrangements are agreed for your trip. The exact due date must be confirmed in writing; a range of 45–60 days does not establish a single payment deadline.
The source terms list international credit cards, including American Express, Visa and Mastercard, and bank transfers. Use only the payment details provided in your confirmed offer or payment process. The enquiry form on this website does not take payments.
| Payment | Proposed arrangement |
|---|---|
| Deposit | 20% of the total price when booking. |
| Balance | 45–60 days before travel unless otherwise agreed; the exact date must appear in the offer. |
| Special airfares or services | Full payment may be required when booking. |
| Last-minute bookings | Confirm payment deadlines and availability before accepting the booking. |
Any legal requirements for advance payments, including insolvency protection where required, continue to apply. The deposit percentage does not establish that an insolvency-protection certificate has been issued for a particular booking.
Contact us before the due date if you cannot pay on time. Any consequences, including a permitted cancellation or demonstrable additional costs, depend on the valid agreement and applicable law; this draft does not impose unrestricted automatic charges.
Children's prices and room arrangements
The source child-pricing policy applies to one child sharing a room or cabin with two adults. Different hotel, cabin or airline rates may apply and will be stated in the individual offer.
| Age | Proposed proportion of adult price |
|---|---|
| Under 2 | 10% |
| Ages 2–11 inclusive | 85% |
| Age 12 and over | Adult price |
| Flights | The airline's child-fare rules at the time of booking |
The enquiry form's categories of children aged 2–17 and adults aged 18 and over are used for planning and support, not as a price promise. Under the framework above, adult prices may apply from age 12. Ages, bed requirements and any discounts will be confirmed before booking.
Cancellation by travellers
Tell us about a cancellation in writing as soon as possible and ask for confirmation of receipt. The source terms calculate cancellation charges from the total booking value. Any deposit already paid is counted towards those charges, rather than being retained in addition to them.
The table reproduces the periods stated in the source terms. Two periods are unclear in that source and require written clarification; no additional percentages have been invented.
| Time before arrival | Charge stated in the source |
|---|---|
| More than 60 days | 10% of the total booking value plus flight cancellation charges. |
| Exactly 60 days | Not expressly allocated in the source; confirm in writing. |
| 59–30 days | 20% plus flight cancellation charges. |
| 29–15 days | 40% plus flight cancellation charges. |
| 14–8 days | 80% plus flight cancellation charges. |
| 7 days | 100%; package flight tickets described as non-refundable in the source. |
| 6 days to arrival | Not expressly defined as a period in the source; confirm in writing. |
| No-show | 100% under the source terms. |
The source describes domestic flight tickets within the package as non-refundable. Any calculation must still reflect the applicable fare conditions and mandatory rights. The same cost must not be charged twice.
Where German package-travel law applies, permissible cancellation compensation is governed by section 651h of the German Civil Code. Saved expenses and opportunities to use services elsewhere must be considered. You may show that no loss, or a substantially smaller loss or compensation entitlement, arose. The table does not restrict statutory rights to cancel without a charge.
Changes and unused services
Requests to change dates, accommodation, names or activities depend on availability and supplier conditions. The source terms allow some changes to be treated as cancellation followed by a new booking. We will explain any charges before making the change.
Choosing not to use a booked service or shortening your stay does not automatically create a refund entitlement under the source terms. This is separate from statutory rights arising from defective services, a permitted cancellation or lawful contract termination.
Confirmation and travel documents
The source terms provide for a confirmation voucher within 48 hours of receiving the deposit, recording the agreed services and conditions. Final travel documents, including booked domestic flights, are intended to be provided after full payment and generally 15–30 days before arrival.
Arrangements for last-minute bookings must be confirmed separately. Check your voucher and travel documents promptly and report any discrepancies. The source uses different descriptions of when services become binding, so the confirmation point for your booking must be clearly agreed in writing before you accept.
Passports, visas and travel preparation
Travellers need the documents required for their nationality, route and transit countries. Names on tickets, vouchers and passports must match. The source terms require a passport valid for at least six months after the planned end of the trip. Actual government entry and transit requirements must also be checked for the specific itinerary.
Our team can help with preparation on request. Information or assistance does not replace a decision by the relevant authorities. Any statutory information and assistance duties of the organiser remain in place.
Check health requirements and current conditions in the countries you plan to visit. Discuss personal medical questions with a qualified professional; a general tour description is not medical advice.
Travel insurance and activities
Consider suitable cover for cancellation, cutting a trip short, baggage and medical emergencies. Check repatriation, planned activities and policy exclusions. Insurance forms part of your booking only when expressly agreed; this recommendation does not limit the organiser's statutory duties.
Boat boarding, steps, mountain paths, caves and other activities may have particular participation requirements. Discuss walking distances, equipment and suitability in advance, and follow local instructions. Taking part does not release the organiser from responsibility.
Flights and accommodation
Flights: Tell us promptly about changes to international flights you have booked yourself so that transfers and connections can be reviewed. Relevant conditions of carriage also apply to flights. Timetables, operating airlines and aircraft may change; statutory travel and air-passenger rights remain unaffected.
Accommodation: The source terms generally assume double occupancy unless stated otherwise. Single rooms, special room requests and additional services may involve supplements. If a property is unavailable, alternatives will be discussed with you.
The source gives 2:00 pm check-in and noon check-out as common guide times. Your booked property's rules apply. Arrange early arrival or late departure separately. Some properties require a security deposit, refundable under their own conditions.
Changes to services and exceptional circumstances
Transport disruption, government measures, severe weather or other unavoidable events may require changes to arrangements. We will explain the situation and available options. Changes to prices or essential services, refunds and cancellation rights depend on the contract and applicable law.
The source includes broad force-majeure clauses. This draft does not adopt them as a blanket exclusion of refunds or statutory claims. Where German package-travel law applies, significant unavoidable and extraordinary circumstances may create rights under section 651h of the German Civil Code; simply calling an event force majeure does not determine the outcome.
For cancellation before travel, the source generally provides for repayment of money received by the organiser. Further rights depend on the cause, type of booking and applicable law.
Conduct during travel and responsibility
Please follow local laws, customs rules and safety instructions, and treat hosts and fellow travellers respectfully. Tell us about practical limitations in advance so that suitable arrangements can be considered.
The source's broad liability waivers have not been adopted unchanged in this draft. It does not exclude liability for intentional misconduct, gross negligence or culpably caused injury to life, body or health. Mandatory organiser duties and rights relating to defective services remain unaffected.
Problems, complaints and claims
Tell your guide or travel adviser about a problem as soon as possible so that a solution can be arranged. Record the affected service, time and contact person, and keep relevant evidence. Reach us through our contact page or enquiry@vietnamtourfun.com.
The source requests a written complaint within 15 days after the trip. In this draft, that is a request for prompt notification, not a reduction of statutory claim or limitation periods. Any legal requirement to report a problem in good time remains applicable.
Applicable law, privacy and use of images
The source terms provide for Vietnamese law. Where such a choice is permitted, it must not remove protection provided by mandatory consumer law. Statutory jurisdiction rules and package-travel rights remain unaffected.
Our privacy policy explains the handling of travel and contact information. Booking a trip does not automatically authorise newsletters or the advertising use of your photographs, reviews or likeness. Any required permission must be obtained separately.
Website photographs are illustrative. Weather, season, route and booked services may differ from the image shown. The written description of your agreed services takes precedence.
Which version applies to your trip
Before you book, you will receive the version of the conditions intended for your trip together with the essential travel information. Later website changes do not automatically apply retrospectively to existing contracts.
This English draft is an editorial adaptation of the source conditions, not a word-for-word adoption of all liability or waiver clauses. It requires approval for the relevant customer market before use as contractual terms. Questions about an existing contract will be addressed using your own booking documents.
